PRIVACY POLICY

Health Hive LLC ("Health Hive," "we," "us") runs this website. This page explains what information we collect from you here, why we collect it, and what happens to it.
We have tried to write this the way we would explain it to you in the clinic. If anything is unclear, call us or email us and we will tell you straight.
WHAT WE COLLECT
When you fill out our contact form
Our contact form asks for:
- Your name
- Your email address
- Your phone number
- The best time to reach you, if you want to tell us
- A short description in the box that asks, "Briefly, what are you dealing with?"
- A checkbox confirming you agree to be contacted by email, phone, or text about your request
About that last box. What you write in the "what are you dealing with" box is read by Health Hive staff so we can understand what you need and get back to you properly. That is the only thing it is used for. We do not share it, sell it, or use it for advertising. A sentence or two is plenty, and you never have to include more than you are comfortable putting in a website form.
When you buy something from our store
To fill an order we collect your name, email address, and the shipping and billing address you enter, along with what you ordered.
Your payment is handled by Stripe, our payment processor. Your card details go directly to Stripe. Health Hive never sees or stores your full card number.
At checkout you may see an optional box asking if you would like to hear from us by email. It is not checked for you. If you tick it, you are joining our email list, which is described in Our email list below.
When you just visit the site
Our website runs on Squarespace. Squarespace sets cookies that keep the site and the store working, and it records basic visitor statistics for us: which pages get visited, the general area visitors come from, and what kind of browser or device they used.
We do not run Google Analytics on this site, and we do not run a Facebook or Meta pixel or any other advertising tracker. We are not building an ad audience out of you.
WHAT HAPPENS AFTER YOU SEND THE CONTACT FORM
1. Squarespace processes your submission and keeps a copy in our website account.
2. It is emailed straight to Health Hive's own inbox, which is where we read it.
3. You get an automatic confirmation email letting you know your message arrived. That email does not repeat what you wrote back to you.
4. A real person at Health Hive reads your message and gets back to you. To write that reply faster, we may use an AI assistant (Claude, made by Anthropic) on the clinic's own account. It reads your message only to help draft the reply to you, a person reads and sends every reply, your message is not used to train the assistant, and it is not copied anywhere else.
The system that sends your confirmation is built to work from the fact that a message arrived, not from what is in it. It does not keep a copy of what you wrote, and it does not repeat your message anywhere.
Sending us the contact form does not put you on our email list. The only way onto that list is to tick a box asking for it. See below.
OUR EMAIL LIST
We have an email list, and we send to it from time to time: news from the clinic, information about health and recovery, dates for courses we are teaching, and occasionally something from the store. That is the whole purpose of it.
There are exactly two ways to join it, and both of them are you choosing to:
- ticking the optional box at checkout when you buy something, which is not ticked for you, or
- entering your email address in the sign-up that appears on the website.
There is no third way. If you fill in our contact form, call us, or come in as a patient, that does not put you on the list. We do not add people to it, and we do not buy or import addresses from anywhere else.
Who sends it. Our email list lives in our website account and the emails are sent using Squarespace Email Campaigns, which is part of the same Squarespace service that runs the website. Your email address and whether you have opted in are stored there.
How to get off it. Every email we send has an unsubscribe link at the bottom. Click it and you are off, immediately, and you do not have to tell us why. If you would rather just tell a person, email or call us using the details at the bottom of this page and we will take you off ourselves.
Coming off the email list does not affect anything else. If you are a patient, we will still contact you about your own appointments and your own care.
HOW WE USE YOUR INFORMATION
- To answer you, by email, phone, or text, because that is what you agreed to when you sent the form
- To understand what you need before we speak, so you are not starting from scratch on the phone
- To fill, ship, and support store orders
- To send you our emails, if you asked for them by ticking a box
- To keep the website working and to keep spam out of our inbox
That is the whole list. We do not use what you send us for advertising.
WHO ELSE HANDLES YOUR INFORMATION
We use a small number of outside companies to run the website. Each one only handles the part it needs:
- Squarespace hosts the website and the store, processes the contact form, and, through Squarespace Email Campaigns, holds our email list and sends our emails.
- Google Workspace provides the email accounts where your message arrives.
- Stripe processes store payments.
- Google reCAPTCHA protects the contact form from spam and bots. It runs on the form page and is subject to Google's own privacy terms.
- Anthropic provides the AI assistant (Claude) that helps us draft replies to messages. It runs on the clinic's own account with training on our conversations switched off, and it sees a message only when we ask it to help with that reply.
- Rombold Labs is the company that builds and maintains this website and the automated confirmation email. Their access is limited to doing that work, and they are under a written agreement with us covering how they handle your information.
WE DO NOT SELL YOUR INFORMATION
Health Hive does not sell, rent, or trade your personal information. We do not share it with advertisers or data brokers.
We would only share it outside the list above if you asked us to, or if we were legally required to.
KEEPING YOUR INFORMATION SAFE
The website is served over a secure, encrypted connection (HTTPS), so what you type into the form is encrypted on its way to us. The accounts that receive your information are password protected, and access is limited to the people who need it to do their jobs.
One honest limit: no website or email system anywhere can promise perfect security. Please do not send us detailed medical records through a website form. A short description is all we need to start the conversation.
CORRECTING OR DELETING YOUR INFORMATION
If you want to know what we have, fix something that is wrong, or have your information deleted, email or call us using the details at the bottom of this page. Tell us what you want done and we will take care of it.
If you have been a patient or placed an order, we may need to keep certain records for our own business and professional obligations, and we will tell you if that applies.
If you would rather we stopped contacting you, just say so and we will stop.
CHILDREN
This website is meant for adults. We do not knowingly collect information from children under 13 through this site. If you believe a child has sent us information here, contact us and we will delete it.
LINKS TO OTHER WEBSITES
Our site links out to other places, including our social media pages, and may include tools from other companies for things like booking. Once you leave our site or use one of those tools, that company's own privacy policy applies, not ours.
CHANGES TO THIS POLICY
If we change how we handle your information, we will update this page and change the effective date at the top. The version posted here is always the current one.
